Dispatch automation: stop paying dispatchers to answer 'where is my driver?'

Your best dispatcher spends half the shift being a tracking page with a voice.

Dispatch teams drown in the same routine contacts: status, ETA, rebooking, proof of delivery, 'can I change the address'. Every one interrupts the actual job of running the fleet. Intake automation resolves the routine ones from live data, on WhatsApp and SMS where customers and drivers already are, and escalates the exceptions — the damaged parcel, the access problem, the angry customer — with everything the dispatcher needs already on screen.

Live status and ETA from your own data

Customers ask in plain language and get the answer from your TMS or tracking system, not a canned reply. Proof of delivery on request.

Booking and rebooking

Collections, deliveries, and service visits booked, changed, and confirmed against real capacity, with address validation and time windows.

Driver and crew comms

Job details, route changes, and customer instructions pushed to the driver on the channel they use, with acknowledgement tracked.

Exception routing

Failed deliveries, damage reports, and access problems open a case with photos and location attached and reach the right dispatcher by rule.

Always a human

Things we keep away from automation in this vertical, by design rather than by accident:

  • Anything involving compensation, claims, or liability
  • Safety incidents — escalated immediately with location
  • Decisions about routing and capacity remain with dispatch

How this is calculated

Routine hours = contacts per day × operating days × routine share × handling minutes ÷ 60. Reclaimed hours = routine hours × automation rate. Cost uses the fully loaded hourly rate. Faster response and fewer failed deliveries are not priced in, so the figure covers labour only.

Questions we get on the first call

Answered before you ask

Any with an API, and several without through a lightweight sync. The integration is what makes 'where is my parcel' answerable from your real data rather than a script, so it is the first thing we scope. If your tracking lives in a spreadsheet today, that is still workable — we have started there before.
